Where do you fit?
Reporting directly to the Chief Marketing Officer as the Executive Assistant/Office Administrator, you will provide support to the CMO and marketing leadership team, and work collaboratively across the company in a fast-paced, dynamic environment.  You will represent SugarCRM to guests, candidates, customers, and vendors.  In this highly visible role, you are a professional and organized individual who is an established administrator, a self-starter, with a flexible, unflappable demeanor. 

Impact you will make in the role:

As Executive Assistant:

  • Support CMO and Marketing team mission
  • Calendar management/scheduling meetings
  • Coordinate travel arrangements
  • Create presentations and generate reports
  • Prioritize, manage and track multiple projects simultaneously and follow-through on issues in a timely manner, ensuring deadlines are met
  • Handle company information with the highest level of confidentiality and sensitivity

As Office Administrator:

  • Oversee Durham office administration, partnering with corporate Facilities as needed
  • Maintain vendor and service provider relationships, serving as the local contact person
  • Plan and execute special office events, meetings, and other special projects
  • Partner with HR and Facilities to maintain office security policies (new hire, terminations, events)
  • Create and issue permanent and temporary access badges while following company security policies
  • Coordinate with IT to receive and/or reclaim computer equipment to/from employees in the Durham office location
  • Greet all guests, including candidates visiting for on-site interviews, ensuring interview process runs smoothly
  • Responsible for other office administrative duties as needed

Expertise you will bring in:

  • Minimum 3 years’ experience supporting marketing leadership and their teams
  • Prior office administration strongly desired, but not required
  • Must have high energy and enjoy high pace
  • Experience working in a creative or technical environment
  • Expert in scheduling and managing complex / global calendars
  • Must be extremely well organized and detail oriented
  • Must be reliable, with a high level of professionalism and trustworthiness – using good judgment and discretion as needed
  • Experience with coordinating international travel, event planning/execution
  • Order & expense processing, basic understanding of budgeting
  • Ability to work independently, or as a team member, while maintaining focus and productivity
  • Articulate, diplomatic, and persuasive communication skills, both verbal and written
  • Ability to handle any responsibility calmly while under pressure
  • Proactive, self-motivated, with excellent interpersonal skills – a “do whatever it takes” attitude
  • Familiar with Tech and use it in your daily life
    • Outlook, Google Docs, Travel sites, social media, etc.
